Terms & Conditions

GENERAL TERMS

1.⁠ ⁠Booking & Payment

Bookings are confirmed upon receipt of :-

-Non-refundable deposit of RM150 (pre-wedding packages) and RM500 (other packages).

Balance must be paid at least 7 days before the session.

2.⁠ ⁠Cancellations & Rescheduling

Booking deposit are no longer refundable 24 hour after the transaction is made.

Rescheduling is allowed once (subject to availability) with advance notice of at least 3 days (60 days for engagements and wedding packages).

Cancellations is allowed with advance notice of at least 30 days to be eligible for a 90% refund (excluding initial non-refundable deposit).

3.⁠ ⁠Client Responsibility

Clients must arrive on time and ensure all participants are ready. Delays caused by the client may impact the session and deliverables.

4. Delivery And Storage Terms

Edited images will be delivered within 7-21 days via (Google Drive).

Images in Google Drive will be kept for a maximum of 2 weeks, and will be stored and archived in hard drive for 10 years.

Re-uploading to Google Drive after the 2 weeks period subjects to a Retrieval Fee of RM100.

Express/Fast editing services subjects to paid additional packages.

Image selection and editing are at the discretion of Visual Ops Collective to maintain quality.

3.⁠ ⁠Copyright & Usage

All images from across services remain the copyright of Visual Ops Collective.

Visual Ops Collective have the rights to use images from across services for any marketing purposes.

Transfer of ownership and copyright to clients requires written agreement and may incur rights transfer fee.

Clients are granted personal usage rights. Commercial or third-party use requires written consent and may incur licensing fees.

4.⁠ ⁠Model Release

By engaging Visual Ops Collective, clients grant permission to use selected images for promotional, portfolio, and social media purposes, unless otherwise agreed in writing.

5.⁠ ⁠Liability

Client is liable for any damage to equipments and properties incurred by the client.

Visual Ops Collective is not liable for circumstances beyond control (e.g. weather, accidents, technical failure). In the event of data loss, liability is limited to a refund or reshoot (if possible).

AGREEMENT

By booking with Visual Ops Collective, the client acknowledges and agrees to the above terms and conditions relevant to the service booked.

Booking Details: Date, time, type of service, special requests

Payment Information: Transaction details (processed via third-party platforms; we do not store card details)

Media Content: Photos, videos, and session-related media

2. How We Use Your Information

Your data is used solely to provide and improve our services:

To process bookings and payments

To communicate about your session or order

To deliver digital media and related services

For internal records and client service management

For promotional use (with consent as per our Model Release section)

To comply with legal obligations

4. Image Use and Consent

By booking with us, you consent to our use of selected images for our portfolio, promotional materials, and social media unless you request otherwise in writing. See the “Model Release” section in our General Terms for full details.

5. Sharing of Information

We do not sell or rent your personal data. We may share information with:

Third-party service providers (e.g. payment gateways, delivery platforms like Google Drive)

Legal or regulatory authorities when required by law

6. Data Storage and Security

We take appropriate steps to protect your personal data:

Media files and records are stored securely in encrypted cloud services

Access to sensitive data is limited to authorized personnel only

We retain personal data only for as long as necessary to fulfill its intended purpose

7. Your Rights

You have the right to:

Request access to your personal data

Correct or update inaccurate information

Withdraw consent for promotional use of your images

Request deletion of your data (subject to legal and contractual obligations)
